    How Do I Prepare a Request for Professional Service (RFPS)?

    • For Services Under $5,000:

    If an estimated cost for a professional service is not to exceed $5,000, the department may issue a solicitation to at least three (3) viable, prospective entities after completing all indicated sections of responsibility on the RFPS form. Once the department acquires three quotes, forward said quotes to the Director of Purchase for review and determination of status.

    • For Services Between $5,000 - $20,000:

    If an estimated cost for a professional service is anticipated to exceed $5,000, the department requesting services must attend to all of the indicated sections of responsibility on the RFPS form, then forward it to the Director of Purchase. The department requesting services must also forward a list of at least five (5) viable, prospective entities. The Purchase Department will then send the solicitation out to the potential sources.

      • Once the potential sources have returned their quote/proposal to the Purchase Department, the responses will be shared with the requesting department. At that time, a determination will be made on awarding a contract based on BPS procurement policies/procedures.
    • Professional services exceeding $20,000 are instead subject to a formal Request for Proposal (RFP) and subsequent Board approval, followed by contract execution.
